How Students are Enrolled in Canvas

People is the course roster of enrollments. Students are automatically enrolled in Canvas courses when they register for courses through the student information system (IRIS/Datatel). Student enrollments can be viewed by instructors via the People and Grades tabs in the left navigation of a Canvas course. If students withdraws from a course in the IRIS/Datatel system before the semester ends, their enrollment status changes from active to inactive. Inactive students no longer have access to the course, but will remain listed on the people page with the inactive tag next to students' names. Instructors cannot add or remove students in a Canvas course. Click People on the left navigation of the course to view a list of people in the course. View the video tutorial and Canvas guides below for more information.

Important Notes

Instructors cannot add students to semester courses. Students are automatically enrolled in Canvas courses via the IRIS/Datatel Colleague system. In Canvas courses instructors can add other instructors in the teacher or teaching assistant roles; however, please note the following:

  • Student mobile data is NOT included in the last activity column on the people index page. It is important not to judge student activity just by this measure. In your course include an activity that students must complete during the first week of the semester. See Course Development Tips for activity ideas. Student mobile data is available from the Canvas admin. Please contact Information Systems and Services if you have a concern about student activity. 
  • Let Information Systems and Services know when a student has an incomplete. Arrangements must be made so student access to the course can be extended. 
  • Students who withdraw from a course during the semester will be marked as inactive in Canvas courses. Inactive students do not have access to course content but any data associated with them can be viewed from the people page or gradebook
  • Student context cards do not display for inactive students; however, the inactive status will display in Discussions, Announcements, the Gradebook, and SpeedGrader.

Inactive Students

Students who withdraw from courses during the semester will not be deleted from the courses. These students will be marked as inactive. This means the students’ data will remain in the Canvas courses but the inactive students will NOT have access to the courses. Please note this changes what instructors see in several different locations in a Canvas Course. Please note the following. 

  • People Page - Inactive students will be listed with the inactive tag next to their name. Currently there are no filters to hide inactive students from the list.
  • Moderate This Quiz & Moderate tab in the new quiz tool - Inactive students will be listed without the inactive tag next to their name. Currently there are no filters to hide inactive students from the list.
  • Grades - Inactive students are hidden by default. Inactive students can be displayed in the gradebook from the student list menu. View this guide Links to an external site. for details. 
  • SpeedGrader - If the inactive students are displayed in gradebook, the inactive students will display in the SpeedGrader. The inactive tag will NOT display next to name but will display above their assignment submission.
  • Grades Export - Inactive students will be listed in the export file. Currently there are no filters to hide inactive students from grade export.
Multiple Instructors in Teaching Role

It is important to understand how teacher role works in a course. Please note the following: 

  • If the official instructor of record is changing in the course, the new instructor will be added to the course via the IRIS/Datatel Colleague system. If you have questions about this process, please contact your department chair Links to an external site. for more information.
  • Other teachers should not be added to an active course. If you want to share content with other instructors, please share the course to the Canvas Commons.
  • If there are multiple instructors in a course, please note all instructors have same read/write access. Please careful that you do not overwrite each others' work.
  • Teaching assistants will have limited abilities in the course and should NOT be students in the same course. In course assignments settings instructors can turn on the moderated grading option to moderate the teaching assistant's grading.
